A Monterrey church unifies 4 campuses
Context
Evangelical church with a main site in San Pedro and three satellites (Apodaca, Escobedo, Guadalupe). Before Ministrium they ran on four separate instances of a legacy PMS and consolidated by hand every Monday.
Problem
- 6 hours/week of an admin assistant copying numbers between spreadsheets. - Donation reports only available on Tuesday (could not act on Sunday night). - Attendance counting with 8–12% discrepancies between campuses due to different rules.
Implementation (in 6 weeks)
1. Migration of the 4 campuses to a single Ministrium organisation with scoped users per site.
2. Definition of a single shared fund catalog.
3. Stripe Connect rollout across the 4 campuses under the same legal entity.
4. Training of 28 kiosk volunteers.
5. Adoption of the consolidated report as the replacement for the manual Excel.
Observed metrics (n = 12 weeks post-cutover)
| Metric | Before | After | Method |
|---|---|---|---|
| Hours/week on consolidation | 6.0 | 0.5 | assistant timesheet |
| Time to first donation report | T+48 h | T+0:30 h | dashboard timestamp |
| Attendance count discrepancy | 8–12% | <1% | comparison against QR check-in |
| Online donations (% of total) | 41% | 58% | Donations report |
Verbatim quote (authorised)
> “What I value is not just the time saved; it is not having to fight four versions of the same number in a pastors meeting.” > — Administrative director
What’s next
Move cell groups to Ministrium (still on a separate tool today) and connect QuickBooks Online.
