Event registration

Registration turns a visitor on the event page into a confirmed attendee. This page explains the flow and operational options.

Configure the registration form

Events → [Event] → Registration form:

  • Default fields: name, email, phone, # of people (if applicable)
  • Custom fields: up to 5 (e.g. “Dietary restrictions?”, “Bringing children?”)
  • Terms and conditions: required checkbox if you turn it on
  • Cancellation policy: text the registrant sees before confirming

Capacity and waitlist

If the event has limited capacity:

  1. Set capacity at event creation.
  2. Enable waitlist for registrations beyond capacity.
  3. When a registrant cancels, the first on the waitlist is auto-promoted and emailed.

Payment at registration

If the event is paid:

  1. Registrant fills the form.
  2. Goes to the payment screen (Stripe Checkout).
  3. Immediate email confirmation + event entry.

If payment fails, the registration stays as pending_payment. They have 24 hours to complete; otherwise auto-canceled.

Group registration

For family retreats or full cell groups:

  1. Turn on “Allow group registration” on the event.
  2. One person registers the whole group with each one’s basics.
  3. Consolidated payment goes through the organizer.
  4. Each person of the group gets their own confirmation.

The registrant types the code on the payment screen.

Confirmation

Each confirmed registration receives:

  1. Immediate email with details + personal event QR
  2. Reminder 7 days before
  3. Reminder 1 day before
  4. Reminder 1 hour before (push if they have the app)

Cancellation by the attendee

The registrant can cancel from their confirmation email:

  • Before cutoff: cancellation + auto refund.
  • After cutoff: cancellation without refund (configurable).

Cancellation by the church

If the church cancels the event:

  1. Events → [Event] → Cancel.
  2. Reason (visible in the email to registrants).
  3. Refund policy: full, partial, none, or credits.
  4. Confirm.

All registrants get an automatic email and, if paid, the refund is processed per policy.

Event check-in

On event day, attendees check in by scanning their email QR. If in-person, the organizer scans on their app or tablet. If online, the QR validates meeting entry.

Event reports

Events → [Event] → Reports:

  • Total registered / attendance / cancellations
  • Funnel: page visitors → registrations → attendance
  • Registrant demographics
  • Event income (if paid)
