Group reports

Group reports measure the health of each cell. It’s the group coordinator’s tool to spot where to help and where to celebrate.

Per-group report (leader view)

The leader sees in their panel:

  • Last meeting attendance: how many came vs capacity
  • 8-week trend: chart
  • Most attending members and least attending
  • Net growth: new members - departures

Aggregate report (coordinator / pastor)

Yellow/red alerts flag at-risk groups:

  • 🟡 Attendance <50% for 4 consecutive weeks
  • 🟢 Capacity full (multiplication candidate)
  • 🔴 No meeting logged in >2 weeks
  • 🔴 No new members in >6 months

Mark attendance (leader)

The leader marks after each meeting:

  1. Opens app or web → their group.
  2. Attendance → [Today’s meeting].
  3. Taps each present member.
  4. Optional: add general meeting note (visible to coordinators).
  5. Save.

Can be marked up to 7 days after the meeting. Beyond that, requires coordinator intervention to prevent manipulation.

Pastoral notes

Per member, the leader can keep notes:

María Pérez • Still processing father's grief — pray • Interested in membership class (Mar 2026) • Asked prayer for new job

Notes are private to the leader and campus pastor. They don’t show in the global CRM.

When a group “doesn’t report”

If 2 weeks pass with no attendance marked:

  1. System notifies the leader by email/push.
  2. After 1 more week, notifies the campus coordinator.
  3. The coordinator calls / contacts the leader to understand what’s happening.

This matters: a “ghost” group (exists but doesn’t operate) inflates metrics and hides problems.

Privacy

Pastoral notes are sensitive. Train your leaders: what they write can be seen by the campus pastor anytime. If content is very personal (intimate counseling), use a separate tool with specific compliance.
