Assign leaders

The group leader is the person pastorally responsible for their cell’s care and multiplication. Assigning leaders correctly is the module’s most important decision.

Assign main leader

  1. Groups → [Group] → Leaders.
  2. + Assign main leader.
  3. Select a member.
  4. The system:
    • Assigns them the leader role scoped to the group.
    • Sends a welcome email explaining responsibilities.
    • Opens the leader panel for them.

Only one main leader. To have two people with equivalent authority, assign one as main and another as co-leader (same operational permissions; only the main receives escalations).

Leader permissions

See the full matrix. Summary:

  • ✅ See members of their group (not other groups’)
  • ✅ Mark group attendance
  • ✅ SMS/email the group
  • ✅ Edit group meetings
  • ✅ Private per-member notes
  • ❌ See members’ donations
  • ❌ See other groups’ data
  • ❌ Edit the full member record (only group notes)

Co-leader

Optional assignment. Same permission as main, no escalation notifications. Useful to:

  • Mentor a future leader before group multiplication.
  • Distribute load between two people with different families.

Host

Person providing the meeting venue. Can be the leader or someone else. Limited permissions:

  • See address and time
  • Doesn’t mark attendance
  • Doesn’t see the full member list (only expected attendance confirmations)

Leader rotation

When a leader leaves the position:

  1. Actions → Rotate leadership.
  2. Assign new main leader.
  3. The outgoing leader:
    • Loses access to the group panel
    • Keeps their member role
    • Private notes are transferred to the new leader (configurable: or deleted)

Important: rotation is audited with reason.

Leader training

Not the software’s job, but we recommend creating a closed leaders group in Ministrium to:

  • Share training
  • Coordinate among leaders
  • Consolidated reports across the whole cell network

Before assigning someone as leader

Leader assignment gives them access to sensitive information (contact, attendance, pastoral notes) of group members. It’s a pastoral decision, not administrative. Confirm with the pastor before assigning.
